Medical device labels and recalls: how to organize a product check

Capture identifiers before searching

Start with the product and its original labeling. Record the manufacturer, product name, model or catalog number and any lot, batch or serial number shown. Photograph the identifying label if your organization's process permits it, and keep the purchase reference with the record.

Do not assume the seller's SKU is the manufacturer's identifier. Both can be useful, but they may serve different purposes. If you only have an order confirmation, ask the supplier how its item code relates to the manufacturer's model.

For a kit or system, record the relevant component information as well. A question about an accessory may not be answered by the main device's name alone.

Find instructions for the exact model

Use the manufacturer's current instructions for the actual product and configuration. Confirm the model number and document version before relying on a downloaded manual.

Keep operating instructions separate from a marketing brochure. A brochure can help introduce features, but it may not contain the full conditions, warnings or maintenance information needed for use.

If the labeling is missing or difficult to read, contact the manufacturer or supplier for help identifying the device. Do not guess its intended use or suitability from its appearance.

Use current recall sources

The FDA publishes serious device recall communications and early alerts on its medical-device safety pages. Its classified recall database offers additional search options. Review both the product identifiers and the current notice, rather than stopping at a search-result headline.

Manufacturer communications are also important. A search that returns no result is not proof that a device has no safety issue or that a particular use is appropriate.

Match the notice to the product

Compare the notice with the identifiers you recorded. Look for the manufacturer, model, affected lots or serial numbers, relevant dates and any conditions describing the affected product.

• Does the manufacturer match?
• Does the model or catalog number match?
• Is the lot or serial number within the notice's stated scope?
• Does the notice identify a particular component or configuration?
• What action and contact details does the notice provide?

If part of the identification is missing, treat the match as unresolved. Contact the manufacturer or supplier using the details in the notice and keep a record of the response.

Follow the notice-specific instructions

Read the required action in full and involve the responsible clinical or equipment professional when patient care may be affected. Do not assume every recall means the same action. Use the instructions for that notice, and obtain guidance before changing essential treatment or replacing treatment equipment.

Within an organization, communicate the finding through the established safety and stock-control process. Keep the affected identifiers, locations, contact record and action status together so follow-up does not depend on one person's inbox.

Keep the product record useful

After the immediate question is answered, retain the relevant documents and update the item record. Note which source was checked, the date of the check and who resolved the question. This supports a later review without implying the product will remain unchanged indefinitely.

For future purchases, request clear product identification and documentation before ordering. The same details that help with a safety check also make a comparison, replacement-part request or service conversation more precise.
