Home medical equipment: a practical planning checklist

Bringing equipment home involves more than choosing a model. The person using it, the space it will occupy and the help available all matter. This checklist helps you organize a conversation with your care team and equipment supplier.

Confirm the purpose with your care team

Start with the equipment recommended for the person's needs. Ask for the device type, required features and any prescription or fitting requirements in writing. This guide helps with planning; it does not determine which device or treatment is appropriate for an individual.

Make a note of who will use the equipment and who will help. A family member who assists in the evening may need the same instructions as the person who attends delivery. Tell the care team if support is limited or if a recommended task seems difficult.

Check the home before selecting a model

Build a short space record instead of relying on memory. Measure the route to the intended location as well as the space where the equipment will be used. Record doorways, turns, steps, floor surfaces and storage constraints that the supplier should assess.

  • Where will the equipment be used and stored?
  • Can it reach that location in its delivery configuration?
  • Does it require assembly, installation or a suitable power supply?
  • Is there room for the user and anyone assisting them?
  • Where will accessories and instructions be kept?

Ask the supplier which dimensions and clearances matter for the exact product. A packaged shipping dimension is not necessarily the equipment's operating dimension.

Ask for instructions and a demonstration

The FDA's home-use guidance encourages users to understand device instructions and seek help with questions. Before first use, obtain the manufacturer's instructions and ask the care team or supplier to explain the tasks you will actually perform.

Keep a written list of unresolved questions. For an unfamiliar control, alarm or accessory, ask for an explanation tied to the exact model. Avoid relying on a video for a similar-looking device as your only source of instruction.

Plan the ongoing work

Ask what routine cleaning, inspection, servicing and replacement parts the manufacturer specifies. Record the relevant instructions and who will handle each task. The aim is to identify the ongoing commitment before the equipment arrives.

For powered equipment, discuss power interruptions with the supplier and responsible care team. If the device supports essential treatment, ask them for an appropriate contingency plan. Do not create a backup arrangement from unverified accessories or generic advice.

Keep the manufacturer, model, serial number, supplier contact and service details together. That record is useful when asking a question, arranging a repair or checking a safety notice.

Separate purchase planning from insurance coverage

If you intend to use insurance, verify coverage before purchasing. Medicare describes durable medical equipment using specific eligibility criteria, and coverage also depends on the equipment, the order and the supplier. A product being described as DME does not establish that a particular purchase will be reimbursed.

Ask your insurer about authorization, supplier eligibility and whether rental or purchase applies. AMEDXI's educational guide does not confirm insurance participation or reimbursement for a listing.

Use a simple handover checklist

Before delivery is complete, record the exact model and accessories received. Check that you have the instructions, relevant contact information and any arranged training or installation details.

  • Confirm who to contact for an equipment problem.
  • Keep routine support details separate from emergency care instructions.
  • Record outstanding questions and who will answer them.
  • Confirm the next service or follow-up step if one is required.

A successful handover means the people involved know what has arrived, what happens next and where to ask for help. It is a good time to resolve practical questions while the order information is close at hand.
